Switching · Migration And Onboarding

What switching actually looks like, week by week.

A written plan, a named migration specialist, and your data moved with help. If you are in the middle of a filing season, the move waits until after your deadline.

Why firms hesitate to switch

Most firms have built workarounds that mostly function. And past software switches have usually cost a lost week, frustrated staff, and at least one briefly misplaced client file. The hesitation is reasonable.

So the ask is not that you trust software. It is that you trust a process, published in full before you commit.

The plan, week by week

WEEK 1

We map, you approve.

A migration specialist walks your current setup with you: where clients live, where documents live, what your recurring engagements look like, which staff need which access. You get a written migration map before anything moves. Nothing is imported until you have seen the plan.

WEEK 2

Data comes in.

Clients, contacts, and documents are imported with our team's help. From your current practice management tool, your spreadsheets, your drives, or all three. You review a sample batch first. If something maps wrong, we fix the mapping, not you.

WEEK 3

Your process becomes templates.

We sit with you, or the person who actually knows how work gets done, and build your engagement templates: the monthly bookkeeping cycle, the T1 workflow, the year end file. Your recurring projects get scheduled so they start creating themselves.

WEEK 4

Your team goes live. We stay on the line.

Staff training happens in scheduled sessions with your files, not a webinar link. For the first month, questions go to a person who knows your setup, with published response times.

AND YOUR OLD DATA?

Exportable, always. Clients, documents, notes, time entries. Yours, in usable formats, any day you ask. We would rather you stay because it works than because leaving is hard.

When to switch

Not during a filing season, and not in the final weeks before a corporate deadline.

The best windows are the ones your calendar already knows: May to June after personal tax season, and October to December before the next one. Firms that book a demo during their busy season and migrate in the quiet weeks after have the smoothest switches. The research happens when the pain is vivid; the move happens when there is air to breathe.

If that's you: book the demo now. We will schedule your migration for the other side of your deadline, in writing.

What switching doesn't require

You don't need to clean your data first. Mapping imperfect data is part of the migration work.

You don't need to stop using your old tools on day one. Run parallel for a couple of weeks during the transition.

You don't need to retrain your clients. Their portal invitation is one email, and what is behind it is simpler than what you are asking them to do today.

You don't need a long contract to get migration help. Migration support comes with the subscription, not above it.

Bring the hard questions to the demo.

How long does the import take for a firm your size? What breaks most often, and how is it handled? What happens to your data if you leave in a year? We answer all of it, specifically, on the call.
